This Privacy Policy explains how GLOBAL DISCOUNT NETWORK LTD, trading as GDN \u2013 Global Damage Network, processes personal information and vehicle inspection information in connection with its website and services. GDN\u2019s approach is to minimise permanent customer profiling while maintaining a useful, VIN-based history of inspections carried out by GDN.<\/span><\/p>

1. Who We Are<\/span><\/h3>

2. Our Privacy Approach<\/span><\/h3>

GDN is designed to maintain useful vehicle inspection records rather than permanent customer profiles. We aim to minimise the personal information we retain and to keep vehicle inspection history centred on the vehicle. Limited customer information may still need to be processed temporarily where necessary to arrange or deliver a service, communicate, invoice, comply with law, maintain accounting records, or establish, exercise or defend legal claims.<\/span><\/p>

3. Temporary Customer Information<\/span><\/h3>

Where necessary, GDN may temporarily process limited customer information such as a name, telephone number or email address for booking, service communication, invoicing, payment administration, complaints or other legitimate operational requirements. Such customer information will be retained only for as long as reasonably necessary for the purpose for which it was collected, or for any longer period required by applicable law, accounting obligations, insurance requirements or the establishment, exercise or defence of legal claims. When no longer required, GDN will take reasonable steps to securely delete or anonymise it. Customer contact information is not intended to form part of the permanent GDN vehicle inspection history.<\/span><\/p>

4. Vehicle Inspection Record and VIN<\/span><\/h3>

GDN\u2019s inspection history is centred on the vehicle rather than the identity of its owner or customer. GDN may retain the vehicle\u2019s Vehicle Identification Number (VIN), make, model, model year where relevant, mileage where relevant, inspection date, inspection type, inspection photographs, Body & Paint findings, documented damage, previous repair findings, repair recommendations, labour assessments where applicable, quality findings and GDN reports. The VIN may be retained as the primary identifier to recognise the same vehicle during a future inspection and provide continuity between inspections. This can allow relevant findings from previous GDN inspections of the same vehicle to be referenced in a later GDN assessment. GDN does not intend to use or retain the vehicle registration number as the identifier for the vehicle\u2019s inspection history.<\/span><\/p>

5. Inspection Location<\/span><\/h3>

GDN may temporarily process the location at which an inspection is to be carried out where this is necessary to arrange travel and deliver the booked service. The inspection location is not intended to be used as a permanent customer contact address or as part of the vehicle\u2019s permanent GDN inspection history, unless retention is otherwise required for a lawful and documented purpose.<\/span><\/p>

6. Photographs and Inspection Evidence<\/span><\/h3>

GDN may take photographs and create inspection records to document vehicle condition, identify damage, support technical findings, prepare reports, perform quality assurance, handle complaints and maintain appropriate inspection evidence. Where a vehicle registration plate is incidentally visible in a photograph, GDN does not intend to use the registration number as the vehicle-history identifier. Identifying details may be cropped, obscured or otherwise minimised where appropriate, particularly before any public use.<\/span><\/p>

7. Gallery, Case Studies, Training and Marketing<\/span><\/h3>

Photographs required to perform an inspection are separate from permission to use material publicly. Where consent is the appropriate lawful basis, GDN will request separate, specific permission before using identifiable customer or vehicle material in a public gallery, case study, marketing material or similar publication. Refusing promotional consent will not prevent a customer from purchasing a GDN inspection service. Where practical, identifying details will be removed or obscured before publication.<\/span><\/p>

8. Why We Process Information<\/span><\/h3>

GDN may process information to respond to enquiries; arrange and deliver inspections; identify the correct vehicle; maintain continuity between GDN inspections using the VIN; document vehicle condition and damage; prepare reports; issue and administer invoices; communicate service information; manage cancellations, complaints or disputes; maintain accounting and business records; protect legal rights; secure and operate the website; and comply with applicable legal obligations.<\/span><\/p>

9. Lawful Bases<\/span><\/h3>

Depending on the activity, GDN may rely on contract where processing is necessary to take steps requested by a customer or deliver a booked service; legal obligation where information must be processed or retained by law; legitimate interests for proportionate business administration, service continuity, security, record keeping, complaint handling and the establishment, exercise or defence of legal claims, provided those interests are not overridden by individual rights; and consent where required or chosen, including certain marketing, cookie or public-image uses. Consent may be withdrawn at any time without affecting processing already lawfully carried out.<\/span><\/p>

10. Invoices and Payment Records<\/span><\/h3>

GDN currently operates an invoicing model under which 50% is payable on booking confirmation and 50% on completion of the service, unless otherwise agreed. GDN may retain invoice references, amounts, dates, payment status and accounting records for the periods reasonably necessary to meet legal, tax, accounting and business obligations. Payment providers or banks may separately process payment information under their own privacy terms.<\/span><\/p>

11. Sharing Information<\/span><\/h3>

GDN may share information only where reasonably necessary with service providers supporting hosting, IT, email, accounting, invoicing, secure storage or other business operations; professional advisers such as accountants, insurers or legal advisers; authorities where disclosure is legally required; and persons or organisations to whom the customer has requested or authorised delivery of a report. Appropriate contractual and security measures will be used where required by law.<\/span><\/p>

12. International Transfers<\/span><\/h3>

Some technology providers may process information outside the United Kingdom. Where a restricted international transfer of personal data occurs, GDN will use an appropriate lawful transfer mechanism and safeguards where required by UK data-protection law. This section should be reviewed when GDN\u2019s final hosting, analytics, email, cloud-storage, CRM and payment providers are confirmed.<\/span><\/p>

13. Data Retention<\/span><\/h3>

GDN does not retain all information for the same period. Temporary customer information is kept only for as long as reasonably necessary for the relevant service, communication, invoicing, accounting, insurance, complaint, legal or regulatory purpose. Vehicle inspection information linked to a VIN may be retained for a longer period where this is reasonably necessary to provide inspection-history continuity and support legitimate GDN record-keeping purposes. GDN will maintain and periodically review an internal retention schedule. Information that is no longer required will be securely deleted, anonymised or otherwise disposed of where reasonably practicable.<\/span><\/p>

14. Data Security<\/span><\/h3>

GDN will use reasonable technical and organisational measures appropriate to the nature of the information to protect it against unauthorised access, loss, alteration, disclosure or destruction. Measures may include access controls, secure accounts, appropriate backups, secure storage and limiting access to people who reasonably require the information for their role. No internet or storage system can be guaranteed to be completely secure.<\/span><\/p>

15. Cookies and Website Technology<\/span><\/h3>

The GDN website may use cookies or similar technologies required for essential operation and, where implemented, optional analytics or other functions. Non-essential cookies will be handled in accordance with applicable UK privacy and electronic-communications requirements. A separate Cookie Policy and appropriate consent mechanism should identify the cookies actually used once the website\u2019s final technical configuration is confirmed.<\/span><\/p>

16. Direct Marketing<\/span><\/h3>

GDN will send electronic direct marketing only where permitted by applicable law. Where consent is required, it will be requested separately. Individuals may opt out of marketing communications at any time. Operational messages relating to an enquiry, booking, inspection, invoice or report are not treated as marketing merely because they are sent electronically.<\/span><\/p>

17. Automated Decision-Making and AI<\/span><\/h3>

GDN does not currently intend to make solely automated decisions about customers that produce legal or similarly significant effects. If GDN later introduces AI-assisted vehicle-damage assessment or other automated processing involving personal data, the relevant privacy information, lawful basis, transparency requirements and any applicable human-review safeguards will be assessed before deployment.<\/span><\/p>

18. Your Data-Protection Rights<\/span><\/h3>

Subject to applicable law and any relevant exemptions, individuals may have rights to be informed; obtain access to their personal data; request correction; request erasure in appropriate circumstances; request restriction; object to certain processing; obtain data portability where applicable; withdraw consent where processing relies on consent; and receive protections relating to certain automated decision-making. Not every right applies in every circumstance.<\/span><\/p>

19. Exercising Your Rights<\/span><\/h3>

Data-protection requests may be sent to admin@globaldamagenetwork.co.uk<\/a>. GDN may need to verify identity before disclosing, correcting or deleting personal information. Requests will be handled in accordance with the time limits and requirements of applicable UK data-protection law.<\/span><\/p>

20. Complaints and the ICO<\/span><\/h3>

If you have concerns about how GDN handles personal information, please contact us so that we can investigate. You also have the right to raise a concern or complaint with the Information Commissioner\u2019s Office (ICO), the UK supervisory authority for data protection.<\/span><\/p>

21. Children<\/span><\/h3>

GDN\u2019s vehicle inspection services are not designed or marketed for children, and GDN does not knowingly seek to build records about children through ordinary inspection bookings. If the nature of the service changes, appropriate privacy information and safeguards will be reviewed.<\/span><\/p>

22. Third-Party Services and Links<\/span><\/h3>

The GDN website may contain links to third-party websites or use services supplied by independent organisations. Those organisations may process personal information under their own privacy notices. GDN is not responsible for the independent privacy practices of third parties acting as separate controllers.<\/span><\/p>

23. Changes to This Privacy Policy<\/span><\/h3>

GDN may update this Privacy Policy to reflect changes in services, technology, suppliers, business processes or legal requirements. The current version should be published on the GDN website with a last-updated date. Where a material new use of personal information requires additional notice, GDN will take reasonable steps to provide that information before beginning the new processing where required.<\/span><\/p>
